Working with Documents

Documents transform AI interactions from general conversations to context-rich, specialized dialogues. When you provide the AI with access to your specific materials, the responses become more accurate, relevant, and tailored to your needs.

Option 1: Quick Document Upload Directly in Chat

This method is ideal when you want to analyze one or more files once during a specific conversation. The uploaded data is only available in this single chat.

Use cases: - "Summarize this PDF document for me." - "Extract the key figures from this report." - "Explain the core findings of the attached research paper."

How to do it: 1. Start a new chat and select an appropriate model 2. Click the plus icon in the input field 3. Select one or more files from your computer (e.g., PDF, TXT, Markdown) 4. Once the file is uploaded, you can immediately ask questions about its content

Example prompt after uploading a project-report.pdf file:

What are the risks mentioned in the document for project Q4?

Option 2: Knowledge Store for Permanent Use

The knowledge store is the method of choice when you want to use documents repeatedly in different chats as a knowledge base. You create a kind of private library that you can access whenever needed.

Use cases: - You upload relevant documents of a research project and can ask the AI about details anytime - You create a knowledge store with internal expense guidelines to quickly answer administrative questions

How to do it in 3 steps:

Step 1: Create & Populate

  1. Navigate to Workspace > Documents
  2. Click the plus icon in the top right to create a new knowledge store and give it a name
  3. Open the store and use the plus icon again to upload your documents

Step 2: Activate in Chat

  1. Start a new chat
  2. Type the hashtag symbol (#) in the input field
  3. Select the desired knowledge store from the list that appears

Step 3: Ask Questions

Once the store is activated, the AI's answers are based on the contents of your documents.

Example prompt:

What milestones were defined for the second quarter?

When to Use Which Method?

Direct Upload (+) Knowledge Store (#)
For quick, one-time analyses of one or more files in a single chat ("One-time use")

Document Preparation Tips

The quality of your documents significantly impacts the AI's response quality:

  • Structured documents with clear headings and consistent formatting work best
  • Markdown and plain text files often provide the best results due to their structure
  • Add tables of contents to longer documents and break complex information into sections
  • Remove sensitive or irrelevant information before uploading
  • Ensure your information is current and accurate

Troubleshooting Tips

  • Upload issues: Usually related to file compatibility or size limits
  • Poor response quality: Often stems from disorganized document structure or outdated information
  • Solutions: Convert documents to more accessible formats, improve organization with clear headings, maintain current content

The integration of documents with AI interactions changes your conversations from general discussions to specialized, informed exchanges. This enables the AI to serve as a knowledgeable assistant that understands your specific domain, processes, and requirements, providing responses that are both accurate and directly applicable to your context and needs.
