Team collaboration features transform Open WebUI from an individual productivity tool into an organizational knowledge platform. Two Collaboration Models

Read-Only Workflow

This model excels when distributing finalized, quality-controlled resources across teams. It works exceptionally well for:

  • Standard operating procedures
  • Approved templates
  • Finalized guides
  • Quality-checked custom assistants

Team members can access and use these resources without modification, ensuring organizational standards while maintaining control over critical processes.

Collaborative Workflow

This model empowers teams to actively improve and evolve shared resources through collective expertise. It's ideal for:

  • Shared team knowledge
  • Experimental custom assistants

When team members can contribute and enhance content, the resulting resources capture diverse perspectives and experiences, fostering a culture of shared learning and innovation.

Starting Collaboration on a Resource

The process is identical for knowledge stores and custom assistants:

  1. Navigate to Resource Overview: Click "Documents" (for knowledge stores) or "Prompts" (for assistants) in the left sidebar
  2. Select Resource: Find the item you want to share in the list
  3. Open Sharing Dialog: Click the share icon associated with the resource
  4. Select Team (Group): Choose the predefined group (e.g., your institute or department name)
  5. Choose Collaboration Type:
  6. Read Access: Provide a finished tool that team members can use but not modify. This guarantees consistency and reliability.
  7. Edit Access: Start a collaborative project where everyone can improve the assistant, add documents to knowledge stores, or remove outdated content.
  8. Confirm Sharing: After selecting the group and appropriate permissions, confirm the sharing.

The Result: A Living Team Tool

Team members don't need to do anything else - the resource automatically appears in their interface (quick access in chat with # for knowledge stores, @ for assistants).

A Tool for the Whole Team

With read access, you ensure everyone uses the same, quality-assured assistant or knowledge store. No divergent versions, no misunderstandings.

The Tool Grows with the Team

With edit access, everyone can actively improve the tool. Every improvement is immediately available to all - leveraging your team's collective intelligence.

Sharing a Single Conversation

Besides active collaboration on resources, you can also share just the result of a conversation. This works via link and is like sharing a screenshot:

  1. Open the menu (...) of the desired chat in your chat history
  2. Select "Share" and then "Copy Link"

The created link shows a static snapshot of the chat. Recipients must be logged into the platform to view it.
